Customer & Operational Policy for Cargo Experts

Purpose:

To ensure smooth, transparent, and secure logistics operations, this policy outlines our commitments, procedures, and your responsibilities when partnering with Cargo Experts.

1. Booking & Confirmation

  • Quote Validity: All freight quotes are valid for 7 days unless otherwise stated.

  • Order Confirmation: Shipments must be confirmed in writing—via email or signed documents—before any processing begins.

  • Minimum Cargo Requirements: For land freight, orders must match at least one truckload (FTL) or meet the minimum container load (LCL) as per our terms.

2. Pricing & Payment

  • Rates: Freight prices exclude customs duties, taxes, and insurance unless specified.

  • Payment Terms: Unless negotiated otherwise, payment is due upon booking via wire transfer or approved methods.

  • Late Payments: Shipments may be delayed or canceled if payment is overdue, subject to storage fees.

3. Documentation & Customs

  • All necessary export/import documents must be provided 48 hours before departure.

  • Additional inspections, certifications, or licenses required by destination authorities must be secured by the client.

  • Cargo Experts will assist with submission and tracking of customs paperwork but is not responsible for import clearance procedures post-destination.

4. Cargo Handling & Insurance

  • Cargo must be properly packaged, labeled, and palletized.

  • Liability: Cargo Experts is liable for losses or damages caused by our negligence. Liability is limited to actual freight value unless insurance is purchased.

  • Insurance: Standard coverage is limited; full cargo insurance is available at additional cost.

5. Transit & Tracking

  • Estimated transit times are provided in good faith but can be affected by force majeure, port congestion, or customs delays.

  • Clients will receive tracking updates at key milestones (pickup, departure, arrival, delivery).

  • Any delays or issues will be communicated promptly.

6. Claims & Disputes

  • Loss or Damage: Must be reported within 7 days of delivery.

  • Documentation Required: Proof of loss and damage documentation must be submitted within 14 days.

  • Claims are processed in accordance with the bill of lading and applicable transport conventions.

  • Disputes unresolved within 30 days may be escalated to arbitration courts per governing law.

7. Cancellation & Changes

  • Fee Structure:

    • Cancellation > 7 days before departure: no fee.

    • 3–7 days before: 50% of freight costs.

    • < 72 hours before: 100% of freight costs.

  • Changes in cargo details (weight, size, route) may require a new quote.

  • Any adjustments are subject to availability and additional charges.

8. Confidentiality & Data Security

  • We protect your business and shipment data with strict security measures.

  • Personal and commercial data are used only for logistics services and are never shared with third parties unless legally required or for customs processing.

  • Any data breach will be reported promptly.

9. Compliance & Regulations

  • Cargo Experts complies with all international shipping laws, customs regulations, and environmental guidelines.

  • Clients must ensure cargo is legally allowed for export/import and free from prohibited items.

  • Any fines or penalties due to non-compliance by the client will be invoiced accordingly.
